Every setting explained

Each connection setting, its choices, its default and an example.

The full reference for the Manager.io connection: what each setting does, the choices it offers, and an everyday example. Names and choices are written exactly as the product shows them.

Where settings live

  • The Configuration tab holds the connection-wide settings: Connection, Accounting Defaults, Entry Types, Charge Accounts, Small Differences and Rule settings.
  • The Pipeline tab holds one page per entry type (pick the type with the buttons at the top). Some settings exist only here: Document Requirements, Payment / Receipt / Journal Defaults, Automation.
  • Foreign currency mode, Inventory enabled, Line discount mode, the Charge Accounts and the Small Differences appear in both places. The Configuration tab sets the connection-wide value; any entry type can override it on its own Pipeline page.
  • A grey Default label next to a value means you have not changed it. Not set means the setting is empty and the general behaviour applies.

Connection

Setting What it does
Base url Your Manager address. "/api2" is added automatically if missing. Permanent once the connection has connected; a different business needs a new connection
Api token The Manager access token. Stored encrypted; can be replaced, never displayed

Example: the web address you open your Manager Cloud business at. Manager Desktop is not supported, because eScanX cannot reach a program running on your own computer.

Accounting Defaults

Base currency — your business's base currency, read from Manager during setup. Example: a Finnish business reads EUR.

Tax registration country — the country your business is VAT-registered in. eScanX uses it to tell domestic tax from foreign tax. Example: with Finland here, a Finnish invoice needs Finnish tax codes, while a German invoice's tax is treated as foreign.

Foreign currency mode — what to do with documents in a foreign currency:

Choice Meaning
Reject foreign documents Such documents stop with an error
Post in the document's currency (Manager converts) Manager stores the foreign amount and converts it itself
Convert to base currency (default) eScanX converts using the exchange rate on the document; you can adjust the rate on the verify screen

Example: a 452.20 USD invoice with "Convert to base currency" books in euros at the rate shown on the verify screen.

Inventory enabled (default: off) — match lines to your Manager inventory items where possible. Off: every line posts to an account. Example: a retailer buying stock switches this on so "Coffee beans 1kg" links to the inventory item; an office buying supplies leaves it off. It must be off if you want account-choosing rules to fill lines automatically.

Line discount mode (invoice types) — how line discounts appear in Manager. The booked amount is the same either way:

Choice Meaning
Fold the discount into the unit price (default) A 10 % discount on a 100.00 line books as 90.00
Show the discount as its own column (as printed) Manager shows 100.00 with a 10 % discount column

Skip zero amount lines (default: on) — lines with an amount of exactly 0.00 book nothing. Example: "Free sample — 0.00" stays on the document for reading but adds no line to the entry.

Entry Types

The tick list of document kinds this connection handles: purchase invoice, sales invoice, expense claim, payment, receipt, and the two journals. Each ticked type gets its own documents tab and its own Pipeline page. Unticking a type hides its tab but keeps its settings. At least one type must stay ticked.

Charge Accounts

Where document-level extra charges post. Each is optional; an unset charge falls back to the general behaviour.

Setting What posts there
Shipping The shipping charge on a document
Other charges An "other charges" amount
Tip A tip
Service charge A service charge
Rounding Rounding printed on the document, for example cash rounding. Different from Small Differences, which absorbs computed cent differences
Discount Document-level discounts, as negative lines

Example: set Shipping to your "Freight costs" account, and a 5.90 delivery fee on any invoice books there instead of being spread over the lines.

Small Differences

Absorb into account — absorbs a difference of a few cents between the printed total and the calculated one, so the entry books the document's exact total. Leave it unset and such documents stay in Draft.

Maximum difference to absorb (default: 0.05) — the largest difference that may be absorbed. Anything larger keeps the document in Draft. For converted documents, allow at least one cent times the exchange rate.

Example: an invoice prints 149.93 but the lines calculate to 149.92. With "Absorb into account: Bank charges" and the limit at 0.05, the entry books at 149.93 and the cent goes to Bank charges. Without the setting, the document waits in Draft, and automatic verification can never pass it.

Document Requirements (per entry type)

Tax handling — what to do when a line shows a tax rate. Applies only to lines with a rate other than 0; reverse-charge lines always need a code.

Choice Meaning Example
We don't reclaim tax No tax codes asked for; tax stays in the cost A business not VAT-registered
We reclaim tax only where we're registered (default for purchases) Domestic lines need a tax code; foreign tax stays in the cost with a "Kept in cost" label A Finnish company: Finnish VAT needs codes, German VAT is kept in cost
Always require a tax code Every taxed line needs a code, wherever it is from Businesses registered in several countries

Sales invoices offer only "Always require a tax code": tax you charge always carries a code.

Field policy (default: not set) — which details a document must have before it can be verified and sent. Example: require a due date on purchase invoices, so a document without one stays in Draft until someone fills it in.

Payment Defaults (Payment entry type)

Payment for — what a payment pays by default. Each document can choose differently at upload or on the verify screen:

Choice Meaning Example
Expense account (default) A direct purchase; the lines book to expense accounts A card payment at a web shop
Supplier / payable Settles a supplier balance; the invoice was already booked Paying last week's purchase invoice
Customer / receivable Settles a customer balance Refunding a customer
Employee Settles an employee's balance Paying back an expense claim

Paid from account — the bank or cash account payments leave from by default. Example: set it to your main bank account and every payment suggests it.

Cleared — when the payment shows as cleared at the bank:

Choice Meaning
Cleared on the payment date (default) The payment is cleared straight away
Clears on the document's due date The payment stays pending until the due date

The pending choice needs a bank account that supports pending transactions in Manager, which is why the control sometimes does not appear.

Post lines as — how much line detail a payment posts to Manager:

Choice Meaning
Every line, as printed (default) Each document line becomes an entry line
One line per category, account and tax rate Lines that share all three merge
One line per account and tax rate Even more merging

The accounts and the VAT return come out identical either way. Grouping only reduces the number of lines in Manager; the scanned document keeps the full detail. A payment that settles a supplier, customer or employee balance posts to that balance account without a tax code, so it gives a single line. Inventory items are never grouped.

Receipt Defaults (Receipt entry type)

The mirror image of Payment Defaults, for money coming in.

Received for — what a receipt records by default:

Choice Meaning Example
Income account (default) Direct income; the lines book to income accounts A cash sale
Customer / receivable Settles a customer balance A customer paying an invoice you sent
Supplier refund A supplier paying money back A refund for returned goods
Employee repayment An employee paying money back Returning an unused advance

Received in account — the bank or cash account money arrives in by default.

Cleared — "Cleared on the receipt date" (default) or "Clears on a later date" (pending; needs a bank account that supports pending transactions).

Post lines as — the same three choices as for payments.

Journal Defaults (the two journal types)

Both journal types show the same three settings. On the expense journal the balancing side is credited, so the labels read Credit to and Credit account; on the income journal it is debited, so they read Debit to and Debit account.

Credit to / Debit to — where the journal's balancing side posts by default. Each document can choose differently at upload or on the verify screen:

Choice Example use
Balancing account (default) An accrual or adjustment against a picked account
Supplier (Accounts payable) Record a payable without an invoice
Customer (Accounts receivable) A write-off against a customer
Employee balance Book something against an employee

Credit account / Debit account — the account used when the choice above is "Balancing account". Example: a monthly insurance accrual credits "Accrued expenses".

Post lines as — the same three choices as for payments.

Automation (per entry type)

Setting In plain words Example
Verify automatically (default: off) The main switch
Minimum confidence How sure the reading must be, 0 to 1. Optional At 0.9, a document read at 87 % stays in Draft
Hold documents with warnings (on for a new connection) Any reading warning keeps the document in Draft The one-cent "total differs" note is enough to hold it
Send to Manager when verified (default: off) Sync immediately after any successful verify Also turns the manual button into "Verify & Sync"

Rules and automation walks through them in action.

Rule settings

When I correct a document — should verifying create rules?

Choice Meaning
Create rules automatically Corrections are remembered without asking
Ask me before creating a rule (default) The "Remember this?" dialog
Never create rules Nothing new is learned. Existing rules keep applying either way

Below it, three tick lists decide what a rule's conditions may look at. Fewer ticked boxes means simpler, broader rules.

List Choices Ticked by default
Match accounts by Category, Supplier (Customer on income types), Product code, Description Supplier (or Customer) and Category
Match tax codes by Tax rate, Reverse charge, Category, Country, Entry type Tax rate and Reverse charge
Match suppliers and customers by Name, Tax number, Entry type Name and Tax number

Example: with the defaults, a learned rule reads "when the supplier is Ruokamarket and the category is groceries, use the Entertainment account". Untick Category, and the same correction learns the broader "when the supplier is Ruokamarket, use the Entertainment account", which then applies to every line from that supplier. Expense claims have no supplier or customer list; their counterparty is always the employee.

Upload options (asked in the upload window)

These are not stored settings. They are per-batch answers, applied to every file in that upload. Skipping them means the defaults above apply.

Entry type Option What it does
Expense claim Paid by Sets the payer on every document in the batch
Payment Payment for + Paid from account Same meaning as the Payment Defaults, for this batch
Receipt Received for + Received in account Same, for money in
Journals Credit to / Debit to + the account Same as the Journal Defaults, for this batch

An answer given at upload always wins over the stored default, and both can still be changed per document on the verify screen.
